The following scheme illustrates the submission's general steps. All the steps can be filled up and completed in one or more working sessions.
There are two possibilities for the choice of
respondents: they can be inserted by the participant or they can be uploaded from the back-office. According to which way has been chosen, the first steps are different.
Respondents list created by participants.- A submission is created in the back-office specifying the properties and the participants.
- Invitation emails are sent from the back-office to the participants, providing them with access information (site, username and a link to set up the password). To send invitation select the submission and clink the button
| Send Ivitation (SELF only) |
- After receiving the invitation email containing access information, participants can set up their password and create their respondents list.
- The categories normally available are Direct Manager, Peers and Direct reports but, if foreseen in the submission, other categories may be made available.
No category is mandatory but if a category is included in the list, the minimum and maximum number of respondents included in the category must be respected.
- From this point on, two scenarios are possible depending on whether the list of respondents must be approved by the direct manager or not.
- Approval required
The participant requests the respondents list approval from the direct manager by clicking the button REQUEST APPROVAL. An email is automatically sent to the manager. The participant can access the questionnaire only after requesting approval and cannot modify the respondents list anymore (unless the direct manager does not approves it). From this point onwards two situations can evolve.
- The direct manager does not approve the list. The participant receives the disapproval notice with an optional comment from the manager, and has to modify his/her list going back to point number 3.
- The direct manager approves the list, and then s/he can access and complete the questionnaire. The invitation mails are sent to all respondents of the list.
- Without approval
The participant invites the respondents and then s/he can access and complete the questionnaire. After sending the first invitation, the participant can add and invite more respondents, but s/he can't remove respondents already invited.
Respondents list uploaded in the back-office.- A submission is created in the back-office specifying the properties, participants and respondents. Participants and respondents can be inserted in the back-office one by one, or they can be uploaded together from an Excel worksheet using the Uploaded respondents function.
- Invitation emails are sent from the back-office both to participants and respondents clicking the button
| Send Invitation (All one mail) |
or | Send invitation (All many mails) |
in.
- After receiving the invitation email containing access information, participants and respondents can set up their password and log in the to the questionnaires.
From now on the further steps are equal in both situations.
- The participant and their respondents complete the questionnaires in one or more sessions.
- Participant and Respondents submit every questionnaire by clicking the button .
- Group reports and individual feedback reports are available through the back office. This function is always accessible even when the completion phase is not finished. The reports include only to the fully completed and submitted questionnaires.
- Individual Feedback reports may be published through the back office by clicking the button . This function sends an email to participants with instruction to download the report.
