Fields that have to be compiled in each desired language for the submission are: Title and Instructions (Home, Questionnaire page 1, Questionnaire page 2). When creating a new submission the fields Title and Instructions are required to be inserted in English.

Title (must be inserted in every enabled language)

The submission title appears in the Multirater home page and can be inserted in the email templates using the tag %submission%.

Instructions (could be inserted in each enbled language)

Several Instructions, each one for a specific step of the questionnaire, are available and can be used to set alternatives to standard instructions.

Website

This is a non-editable field displaying the address of the website where the questionnaire will be published. It can be enabled when several websites are available to publish the questionnaire.

Registration token

This is a non-editable token. It is used to set a token (a kind of password) used to enable registration to the submission. Participants are not inserted into the back-office: they are allowed to register themselves to the submission.

Questionnaire

This is the questionnaire that will be used. The questionnaire title can be inserted in the email templates by using the tag %questionnaire%.

Submission type

This is the type of submission (360°/180°, Time2change, SNA (social network analysis), JAQ, Engagement inquiry, Self Assessment, 360°/180° with importance).

Exposition mode

It represents the mode the questionnaire is shown. There are four modes: (Radio buttons, Bars, Model view, Bars extended).

Starting Date

The start date when it will be possible to access the questionnaire: respondents and participants must be invited to be able to access the questionnaire.

Expiring date

The last day on which the questionnaire will be available. After this date it will be possible to pubòish reports. This field can be inserted in the email templates by using the tag %cutoffdate%.

Answer range

It represents the answer range used in the questionnaire.

Allow “don’t know” answer

To complete the questionnaire, respondents must rate all the behaviors. By checking this check box, a “don’t know” answer will be available for each behavior.

Behavior comments

It specifies if the comments on some behaviors are mandatory, allowed or not allowed. This function is allowed only in submissions with radiobuttons exposition mode.

N° of behaviors with comment

A number in this field represents the number of behaviors which a respondent must leave a comment in addition to the rating.

“Mail Sender” address

The mail address used as the sender for the email messages sent from the application.

Company

The Company that runs the submission. It will appear on the cover of the report.

Allow report share with boss

When checked allows participants to share their individual report with their boss.

Behaviors per page

This field specifies the number of behaviors that will appear on each filling-in page on the questionnaire. As ratings are saved at each page change, it is advisable to limit the number of answers per page to avoid loss of information in case of connection failure.

Direct manager role

This field specifies the role of the direct manager. There are three different possibilities: direct manager is asked to give only feedback, he is asked only to approve the respondents list (created by the participant) or he is asked to do both. If approval is required, after creating a respondents list and by clicking on the specific button, participants will ask approval to their direct managers, who will receive an email. Then direct managers will have the choice either to accept the list or to refuse it. In case of acceptance all the listed respondents will receive an invitation by email and the participants will receive a notification mail specifying the list approval. Otherwise the direct managers will have the possibility to write a comment that will be sent to the self by a notification mail specifying the refusal.

Feedback report language

Defines the language used to create feedback reports.

Norma type

This field specifies if a norma is included in the report and, if it is so, it specifies on which criteria it is calculated. There are two different types of norma: (submission (only individual)) the norma is the average of all the ratings of a behaviour in this submission. (Behavior/questionnaires) the norma is the average of all the submissions with the questionnaire used.


Top behaviors

It specifies the number of behaviors that are included in the highest and lowest ratings sections in the report.

Importance range

When rating the importance of competencies is required, this field specifies the scale used in rating the importance of competencies.

Privacy policy

This is the optional Privacy Policy that the respondents must approve to access the questionnaire.

Buttons

For every email sending, the email template is taken in a specific order. At first the tool looks for the email template among those specific of the submission (tab Email templates), with respondent category and language of every recipient. If nothing is found, the tool looks for the email template among those specific of the submission with the default language setted and the respondent category of the recipient. After that, the email template is searched among the generic template of the tool (menu: Resources --> E-mail templates), with respondent category and language of the recipient. Finally, if nothing comes out, the tool looks for the email template among those generic written in the default language.

Send Invitation (SELF Only)
This button sends the email of invitation only to all the self respondents of the submission. As for every invitation email, the template has type called "Invitation".

Send Invitation (ALL one mail)
This button sends the invitation email to all the respondents of the submission, distinguishing them by the email address (i.e. a person who appears as respondent twice in the submission, receives only one email).

Send Invitation (ALL many mails)
This button sends the invitation email to all the respondents of the submission, without any grouping based on email address (i.e. the same person, respondent twice in the submission, receives two distinct email).

Send reminder
This button sends a reminder email to all respondents that have not filled in the questionnaire yet. The email template for this kind of sending has type named "First recall". This email can be sent an unlimited number of times.

Last recall
This button sends an additional reminder email to all respondents that have not filled in the questionnaire yet. The email template for this kind of sending has type named "Last recall". This email can be sent an unlimited number of times.

Publish reports
This button publishes the participants' feedback report and sends an email explaining how to get this report. The email template for this kind of sending has type named "Report published".

Share RPT w/boss (one mail)
This button allows all the participants' direct managers to see their direct reports' feedback report. This button also sends an explanation email to the managers, distinguishing them by the email address (i.e. a person who is managers of two participants of the submission, receives only one email). The email template for this kind of sending has type named "Share report".

Share RPT w/boss (many mails)
This button allows all the participants' direct managers to see their direct reports' feedback report. This button also sends an explanation email to the managers, without any grouping based on email address (i.e. the same person, manager of two participants in the submission, receives two distinct email).

Submission status
This button generates a report which shows all those participants whose report has not reached the minimun number of questionnaires filled in in order to be useful. For every participant it is specified which respondents categories will not appear in the feedback report and the number of missing questionnaires.

Respondents status
This button generates an Excel worksheet containing the list of all respondents, specifying the state of completion of the submission.

Bad Mails Check
This button works only for those submissions in which the participants have to compile their own respondents list and their bosses have to approve it. In case when some email addresses are written wrong by the participant, he/she can correct them without any other control after the boss approval. This button checks if the wrong emails addresses and the new ones are consistent.

Overall performance
This button generates an Excel worksheet with various informations about every participant. Here you can find an overall average named "score", i.e. a global average computed with average of averages starting from the evaluations received. With this score the participants are divided in different percentiles. In this report you can find also the "agreement index", i.e. a number between 0 and 1 which expresses the agreement between respondents. For every respondents category it is specified the number of evaluators..

Competency score with self
This button generates an Excel worksheet with the averages of all competences' evaluations for every respondents category, including self.

Competency score w/o self
This button generates an Excel worksheet with the averages of all competences' evaluations for every respondents category, without considering self.

Details Report
This button generates an Excel worksheet containing the average of all evaluations ordered by area, competence and behaviors, for every respondents category.

Importance Details
This button generates an Excel worksheet containing data in the case the step of competences importance evaluation is enabled. Here you can find the importance given to all the competences from every evaluator.

Open-ended Comments
This button generates a report containing the answers given to the open questions, if they are present.

Group report
This button generates a group report, i.e. a report including all the participants' results. The sections included in this report are specified in the tab Group Reports.

Logs report
This button generates an Excel worksheet with the list of both participants (or bosses when it is allowed) and tool users who have downloaded a feedback report.
